Give an open vendor bill question a clearer starting point.

“Which open vendor bills need attention?” is a useful example of the questions NetSuite finance teams bring to Carmen. Here is how to scope that question and check the answer during a pilot.

Define what needs attention

Open, overdue and awaiting approval are different conditions. A bill can be unpaid without being overdue, and a created-date filter is different from a due-date filter. Start by deciding which operational question you actually want answered.

For a pilot, bring a concrete example such as: “Show open vendor bills created this quarter for this subsidiary.” Confirm supported filters and records with the Carmen team before relying on the workflow.

Make the scope explicit

  • Status: define what counts as open and how partially paid bills should be treated.
  • Dates: distinguish transaction date, creation date, due date and accounting period.
  • Subsidiary: specify which entities are in scope and visible to the current role.
  • Currency: keep transaction currencies separate or name the reporting currency and conversion basis.

Reconcile before taking action

Compare the result to a NetSuite saved search or report using the same role, filters and time of retrieval. Check a few source records, partial payments, currency treatment and excluded statuses. If totals differ, investigate the scope rather than assuming either result is correct.

What to bring to a beta discussion

Describe the question, the current report or saved search, the roles involved and how often the team performs the task. Use an anonymized description. Do not send bill exports, supplier banking details, passwords or API keys in the initial email.
